Privacy Policy
Effective October 12, 2026
1. Who we are and what this policy covers
cashbaq.cloud is operated by Cashbaq (“we”, “us”). Cashbaq is a referral service that connects home buyers with independent licensed real estate professionals. We are not a real estate brokerage.
This policy explains how we collect, use, disclose and protect personal information in line with the Personal Information Protection and Electronic Documents Act (PIPEDA) and how we send electronic messages in line with Canada's Anti-Spam Legislation (CASL). If you live in a province with its own private-sector privacy law (Quebec, Alberta or British Columbia), that law may also apply, and we will honour the rights it gives you.
2. Accountability
Cashbaq is responsible for the personal information under its control, including information we pass to service providers to process on our behalf. Our Privacy Officer oversees our compliance with this policy:
Privacy Officer, CashbaqEmail: privacy@cashbaq.cloud
3. What we collect
We only collect what we need to match you with a realtor and follow up on your request:
- Contact details: first and last name, email address, phone number and how you prefer to be contacted.
- Your home search: the type of buyer you are, your budget range, the city and neighbourhoods you're interested in, and when you plan to buy.
- Buying readiness: whether you're pre-approved for a mortgage, your household income range, and whether you're already working with a realtor. We ask for a range, not an exact figure, and you can choose “Prefer not to say” for income.
- Anything you add in the optional notes field.
- Consent records: what you agreed to, the version of the wording you saw, and when.
The cashback calculator runs entirely in your browser. Nothing you enter in it is sent to us unless you register. We don't use advertising or analytics cookies on this site. Our hosting provider keeps standard technical logs (such as IP address, browser type and the pages requested) for security and to keep the site running.
4. Why we collect it
We use your information only for these purposes, which we identify before or when we collect it:
- to match you with a licensed realtor who works in the area you're interested in;
- to contact you, and have your matched realtor contact you, about your home search and the cashback program;
- to decide who to follow up with first. We use your timeline, pre-approval status, budget and income range to prioritise follow-up. This affects only the order in which we reach out, never whether you can use the service;
- to keep records of your consent and to meet our legal obligations; and
- if you opt in separately, to send you Cashbaq news, market updates and offers. This is optional and you can stop it at any time.
If we want to use your information for a new purpose, we will ask for your consent first.
5. Consent
We collect, use and share your information with your express consent, which you give by ticking the consent box on our registration form. The marketing consent is a separate, optional box that is unticked by default.
You can withdraw your consent at any time by emailing privacy@cashbaq.cloud, using the unsubscribe link in any email, or replying STOP to any text message. If you withdraw consent to be contacted, we and your matched realtor will stop contacting you, and we won't be able to match you with a realtor or help you get cashback.
7. Storage outside Canada
Our website and database providers store and process information on servers in the United States. While it is there, your information is protected by our contracts with those providers but is subject to US law and may be accessed by US courts, law enforcement or national security authorities.
8. How long we keep it
We keep your registration for up to 24 months after our last contact with you, then delete it or make it anonymous. If you ask us to delete your information sooner, we will, unless we need to keep part of it to meet a legal obligation. We keep records of your consent, and of any withdrawal of consent, for as long as we need them to show that we complied with CASL. If you ask for access to your information, we keep it until you have had the chance to use any recourse available to you.
9. How we protect it
We use safeguards suited to how sensitive the information is. They include encryption in transit (HTTPS), a database that the public internet cannot read directly, password-protected access limited to staff who need it, and contracts that require our service providers and realtors to protect your information.
If a breach of security creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as soon as feasible, and keep a record of the breach as PIPEDA requires.
10. Keeping it accurate
We rely on you to give us accurate information. If something changes (your timeline, budget or phone number, for example), register again with the same email address or email us, and we'll update your record.
11. Your right to access and correct your information
You can ask us what personal information we hold about you, how we have used it and who we have shared it with. You can also ask us to correct it or delete it. Email privacy@cashbaq.cloud. We may ask you to confirm your identity first. We will respond within 30 days, and access is free of charge. If we can't give you access to some information, we'll tell you why.
12. Emails and text messages (CASL)
We send commercial electronic messages only with your consent. Every email or text from Cashbaq identifies us, includes our contact information and gives you a simple way to unsubscribe. We act on unsubscribe requests within 10 business days, and usually much sooner.
When you register, you also consent to receive messages from the licensed realtor we match you with. Their messages will tell you that Cashbaq obtained your consent, and you can unsubscribe from them directly or by contacting us.
Phone calls are not covered by CASL. If you'd prefer not to be called, tell your realtor or email us and we'll update your contact preferences.
13. Children
This service is for adults buying a home. We don't knowingly collect information from anyone under 18.
14. Questions and complaints
If you have a question or concern about how we handle your information, please contact our Privacy Officer first. We will look into every complaint and, if it is justified, take steps to fix the problem.
Privacy Officer, CashbaqEmail: privacy@cashbaq.cloud
If you're not satisfied with our response, you can complain to the Office of the Privacy Commissioner of Canada at www.priv.gc.ca or 1-800-282-1376. Complaints about unsolicited electronic messages can be reported to the Spam Reporting Centre at fightspam.gc.ca.
15. Changes to this policy
We may update this policy. We will post the new version here with a new effective date. If we make a material change to how we use information we already hold, we will ask for your consent again.
